Understand the underlying transaction
Begin with the invoice, contract or other source document. Identify the parties, nature of transaction and relevant period before considering withholding or collection treatment. A ledger label alone may not describe the transaction accurately.
Keep party identifiers and transaction values in a consistent record. Note any missing information so that the reviewer can request it before reaching a conclusion.
Document the basis for treatment
Record the official source and period used to assess applicability, rate and timing. Do not carry forward last year's spreadsheet formula without checking whether the assumptions remain valid.
Separate the commercial amount, any tax calculation, payment evidence and statement reporting reference. Mixing these fields makes it harder to explain a difference later.
- Identify the payer and recipient correctly.
- Retain transaction and payment references.
- Record applicable-period research separately.
- Flag missing evidence for professional follow-up.
Review before reporting
Reconcile the relevant ledgers with payment and statement records. Investigate differences and keep proposed corrections distinct from completed ones.
This checklist intentionally contains no current rates, thresholds, section numbers or filing deadlines. Verify those against current official income-tax resources and the client's circumstances. It is a preparation aid rather than a tax conclusion.
For a payment with unclear narration, request the underlying agreement or invoice before assigning a treatment. Record what was received, what remains uncertain and who will approve the final decision. The payment reference and research conclusion should be traceable from the same working-paper row.
